Plagiarism notification

Ethics and Publishing Policies: Plagiarism and AI Usage

The organizing committee of the international conference in Istanbul is committed to upholding the highest standards of academic integrity and publishing ethics. All authors submitting papers for consideration and presentation on May 21-23, 2026, must strictly adhere to the following guidelines regarding original work and the use of Artificial Intelligence (AI).

1. Policy on Plagiarism

Plagiarism in any form is unacceptable and is considered a serious breach of professional conduct. All submissions must represent original, unpublished research.

  • Similarity Checking: All submitted manuscripts will be subjected to rigorous plagiarism detection using industry-standard software (e.g., CrossCheck / iThenticate) prior to the peer-review process.
  • Thresholds: Papers exhibiting a high similarity index with previously published works—including the authors' own prior publications (self-plagiarism)—without proper citation will be immediately rejected.
  • Proper Attribution: All ideas, data, words, and visual elements (charts, graphs, images) drawn from other sources must be properly cited and referenced according to IEEE citation style guidelines.

2. Policy on Artificial Intelligence (AI) and Large Language Models (LLMs)

We recognize the rapid advancement of AI tools (such as ChatGPT, Gemini, Claude, etc.) and their potential utility in the drafting process. However, the use of generative AI must be transparent and strictly regulated to ensure the integrity of the scientific record.

  • AI Authorship: Under no circumstances can an AI system or Large Language Model be listed as an author or co-author of a submitted paper. AI tools cannot assume responsibility for the accuracy, integrity, or originality of the research.
  • Permitted Usage: Authors may use AI tools to improve the readability, grammar, and language of their manuscript (e.g., translation, copyediting).
  • Mandatory Disclosure: If AI tools were used to generate any portion of the manuscript's text, structure, or data analysis, authors must explicitly disclose this in the Acknowledgments section or a dedicated AI Usage Declaration section. The disclosure must specify the tool used and the exact nature of its application.
  • Author Responsibility: The human authors bear full responsibility for all content within the manuscript, including any inaccuracies, fabricated data (hallucinations), or plagiarized text generated by AI tools. Authors must thoroughly review and verify all AI-assisted content.

3. Consequences of Policy Violation

Failure to comply with these ethics guidelines will result in immediate consequences, which may include:

  • Immediate rejection and withdrawal of the manuscript from the review process or conference proceedings.
  • Prohibition from presenting the paper at the conference.
  • Notification of the violation to the authors' affiliated institutions or funding agencies.
  • Restrictions on submitting to future editions of the conference.

Attendance and Presentation Policy

To ensure a vibrant and engaging academic environment, the organizing committee has established the following requirements for all accepted papers at the upcoming international conference in Istanbul (June 25-27, 2026).

1. Mandatory Registration and Presentation For a paper to be included in the final conference proceedings and submitted for indexing (e.g., IEEE Xplore), at least one author of the accepted paper must formally register for the conference and present the research during their scheduled session.

2. In-Person Attendance Expectation The primary format of the conference is in-person. We strongly encourage all authors to travel to Istanbul to present their work, participate in Q&A sessions, and engage in the valuable networking opportunities that an international academic gathering provides.

3. Online / Virtual Presentation (By Approval Only) We recognize that extenuating circumstances, travel restrictions, or logistical challenges may occasionally prevent in-person attendance.

  • Online or virtual presentations are strictly by prior approval only.
  • Authors who are unable to attend in person must submit a formal request for virtual presentation to the organizing committee at least [Insert Number, e.g., 4] weeks prior to the conference start date.
  • Requests must include a valid justification for the inability to travel. The organizing committee reserves the right to approve or deny these requests on a case-by-case basis.
  • If approved, authors will be provided with specific technical guidelines for delivering their presentation remotely during their designated session time.

4. "No-Show" Policy Any accepted paper that is not presented at the conference—either in person by a registered author or via an explicitly approved online arrangement—will be designated as a "no-show." Under standard academic publishing guidelines, no-show papers will be strictly excluded from the final published proceedings and will not be eligible for further indexing.

The authors should submit a paper of 4-6 pages (in English only) using 2025 IEEE SIST link to Microsoft Conference Management Tool. It should define the scope of the work, emphasizing new advances, theories, and/or applications, and include an analysis of results and findings. The paper must be structured such that the program committee will be able to understand the originality and the value of the work.

Requirements for the submitted paper:

1. Use a minimum of 10 references per paper

2. Maximum of 20% of self-citation

3. Minimum 30% of references from Scopus and Web of Science

4. Maximum 6 authors per paper

5. One author can submit up to 3 papers
